What we look for from our suppliers and contractors
We want to ensure that the contractors which we work with will support us in providing a safe, inclusive and respectful environment for everyone we work with – this includes our clients, colleagues and contractors.
To ensure that you meet our requirements, there are a number of things we expect from you. Full details are set out below. In summary, to become a supplier, or contractor, for Transform you must:
1. have SMAS (SSIP) Certification, or be working towards it
2. sign up to our Contractor Code of Conduct – including having an Equality and Diversity Policy (or signing up to ours) and a Health and Safety Policy
3. complete our Data Protection Form so we can put a Data Processing Agreement (DPA) in place for you
4. complete our New Supplier Onboarding Form, to allow us to set you up for payment
1. Safety Schemes in Procurement (SSIP) Certification
We work with SMAS Worksafe to maintain our approved contractors’ list and ensure that our contractors, where necessary, have SSIP certification (Safety Schemes in Procurement Certification). This gives us the assurance that our contractors meet minimum health and safety requirements.
SMAS Worksafe will work with you to obtain accreditation. There are two different levels:
- Worksafe – the basic accreditation which assesses your health and safety management systems against the established SSIP Core Criteria, ensuring you meet the necessary standards for health and safety compliance; or
- Worksafe Plus – which demonstrates compliance beyond health and safety, bringing together SSIP with the SMAS Standard. This demonstrates compliance in additional areas such as environmental and quality management

2. Code of Conduct
We require all our contractors to read and adhere to our Contractor Code of Conduct and make all their staff and operatives aware of our minimum expectations. A copy of the code is available here. You can sign up to the Code here.

Equality and Diversity Policy – if you do not have your own Equality and Diversity Policy, we ask that you adopt ours (you can do so on the Contractor Code of Conduct sign up form).
Health and Safety Policy – all contractors we work with are required to have their own Health & Safety policy.
3. General Data Protection Regulations (GDPR)
Recent events in the news have highlighted the need to ensure that organisations have processes in place to protect how data is used and shared, especially client data. To achieve this, we will put into place a Data Processing Agreement (DPA) outlining how our data is used and processed by you.
To enable us to draft the necessary DPA, we need our contractors to provide us with information about their own data protection arrangements to give us assurance that you will look after our data as well as we do. We therefore ask you to complete a questionnaire. Please download this form, complete and email it and any supporting documentation to Kevin Stephens at kstephens@transformhousing.org.uk
This will be reviewed by our Data Protection Officer at Data Protection People and will inform the information included in the DPA, which will be sent to you for signature in due course.
4. Financial, commercial and technical capability to meet Transform's requirements
The following requirements will need to be met:
- A Dun and Bradstreet check of your past financial performance and ongoing performance whilst you work with us
- Ongoing evidence of the appropriate qualifications and accreditations to carry out the necessary work.
- In order to raise purchase orders and process your invoices, we are required to set you up as a supplier in our financial system.
